PRACTICE EXAMThe Fact Finder Booklet that you have received will aid our consultants with your practice exam. Upon receipt of this completed booklet, your personal consultant will be scheduling with you to begin your consulting services. Optional One Day In-Office Practice ExamThe in-office exam begins by gathering practice data, staff interviews and information prior to the initial in-office practice exam. We want this visit to have as much impact as possible. Typically, we fly in the late afternoon or early evening the night before the scheduled practice evaluation. If scheduling permits, we ask to meet with the doctor, spouse and/or team leader for a dinner meeting. This allows us to clarify any questions we have on the previously received information, the future direction/goals and answer any questions you may have regarding how we will be proceeding. We then begin early the day of the in-office evaluation by observing the practice in motion, interviewing the staff with all additional fact finding information not obtain prior to the visit. The afternoon should be blocked off for a group presentation and training. This is an important key in unifying the group on the new direction and preparatory items for growth. Practice Exam CallsYour consulting experience begins with this initial exam. The exam call is designed to provide your consultant with necessary information to begin and prepare your curriculum and customized consulting program. For your Exam phone call, please allow approximately one hour for this to be completed. Action Plan & CurriculumsOnce your Fact Finder Booklet has been reviewed and your office exam completed, your consultant will prepare an action plan and assign your initial 2-3 curriculums which will immediately be sent to you by our home office. Our curriculums consist of outlines and listening materials which will guide you through each practice building system with the help of your consultant. Upon completion and successful implementation of selected curriculums, you will again receive other curriculums which have been selected for your practice. INFORMATION PACK (Print, Audio)At the onset of your consulting experience you will be sent our information pack. This information pack includes all of our standard practice building materials both written and recorded. Much of what we teach at our seminars and use in our day to day consulting will be found in this extensive set of training materials. These materials include the following: Doctors Procedural ManualThe manual expounds on all areas of practice administration, staff development, practice marketing, new and routine patient processing, as well as receivables management. You will find this manual of over 700 pages to be a constant resource for most of your practice building questions. Staff Training ManualThis manual is the state-of-the-art training tool and reference guide for established and new staff. This manual provides scripts, dialogs and procedures specific to the front desk, receivables, back office, new patient processor, therapy staff and tableside assistants. This manual is filled with complete procedures, job descriptions and step-by-step instructions on how to complete assigned duties. Procedural Training AudiosYour coach has access to over sixty single subject recordings that you may receive as training aids, you will receive those that will be needed as you proceed through your program. Marketing SystemOur marketing program is designed to help you work on as well as in your practice. Developing and engaging in these systems will keep you from hunting for gimmicks and quick fix promotional schemes that seldom work. This powerful program is complete with outlines, how-to recordings and the printable support documents needed to be successful with each marketing system. Information HandbookThe information handbook includes all of the necessities you will need during your time with Capacity Management. You will find information about our stat watch which will help us monitor your growth and spot any blockages, current seminar and tele-training schedules with instructions on how to use and follow our monthly tele-training as well as instructions on how to use our Q & A system. TELE-TRAINING, SEMINARS & PRESENTATIONSScheduled Tele-TrainingsReview our tele-training schedule and plan for you and your team to be in attendance. You will be given a special access code for your personal use. We will use these presentations to train the Doctor and staff on the basic systems, dialogs and topics that will help you implement our growth strategies. We find this supplements staff/team training and will lessen the need for extensive travel. C.M. Seminar ModelThe costs of flights, hotels and traveling expenses has become a real problem in trying to get the whole team to important seminars. Not to mention the time away from family...etc. Capacity Management’s new seminar model is as follows. Numerous clients have taken on the availabilities of hosting a seminar on a Thursday, Friday or Saturday. They invite 5-10 offices within a driving area. You can schedule the day, time and topic. Greg Jack has a fee of $3,000 per day plus travel expenses. The host doctors usually charge for the seminars and make money as well. In fact, you would spend less on bringing him out for a seminar than you would hauling your staff off to a seminar. You can find seminars close to your practice to take your staff to if you feel the need to train your staff in this way. CONSULTING AND COACHINGWe know that your needs and circumstances may change as the dynamics of growth begin to affect you and the need for implementation consulting becomes more important. CM offers you the most appropriate coaching and contact in the profession today. Scheduled Monthly CallsEach month you will automatically be scheduled for a call to review statistics, check priorities and strategize on capacity blockages that may be keeping you from growing. Open Call SystemAs you and your staff work through the implementation of your curriculums and action plan you will find the need for implementation help. You may call as needed and get scheduled for a call. To avoid telephone tag, you may be put on your consultant’s call back board and your consultant will call you back as quickly as possible. Some time the support staff of a coaching assistant may help get exactly what you need. We use this implementation service to check your progress on the curriculums, review statistics and guide you through trouble spots if they arise. These coaching calls are powerful and will keep you tightly connected with us as you grow. Unlimited Question & Answer SystemWe provide Doctor and staff with unlimited access to CM through our Question and Answer System. You may send your questions to us via: Email, fax or call in your specific question for a prompt response. Stat Watch SystemYou will be asked to submit statistics to CM on a monthly basis. Statistics are assessed, analyzed and reviewed to insure that your statistics reflect the growth and direction that we have been working together to achieve. We will monitor your progress, determine trends and use this information to make continued recommendations. Additionally, this review immediately alerts us to identifying any concerns and/or new opportunities for growth. Please remember, record keepers become record breakers. You use new data to keep your patients progressing in care and so do we in caring for you. This is our re-exam information; it will help us to serve you better. Marketing Tools and SupportYou will be introduced to a remarkable marketing system. This system will address both internal and external marketing and help your practice develop a system of getting new patients. The marketing program will run side by side with your consulting program. We have systems and tools to move you forward in getting new patients. Audio Recording & Practice Building SystemsGreg has developed many practice building systems that are now used industry wide. Some of this information is on audio recording that come with support documents. Some systems are print format only. These recordings and systems will be sent to you on an “as need” basis. Report Of Findings & Growth StrategiesAfter your phone and in-office exam you will be provided with a recorded strategy for growth and an action plan for your program. This will initialize the sending of curriculums and systems. |
