To be successful at marketing, practices need to have a full understanding of where new patients come from, what return on investment they’re receiving, and how to improve their results. The Capacity Management program has designed the tools needed to analyze and track all of these areas.

Our Approach

Capacity Management works with your practice to create successful campaigns for each of the three main components to any profitable marketing system.

Internal Marketing:

Welcoming patients, soliciting feedback, creating patient loyalty, and referral programs. Internal marketing occurs over a period of time, creating a long-term strategy that addresses every stage of the patient cycle.

External Marketing:

Community participation, creating television and radio ads, sending out direct mail, billboards, sponsoring events, and advertising in publications. We help you find out what avenues will give you the biggest return on your investment.

Internet Marketing:

SEO, pay-per-click, and email marketing, and social media marketing on sites like Twitter, Facebook, and Instagram. We know how to give you a complete online presence that will guide new patients to your practice.

Our System

There are three concerns about practice marketing that some would say is secret. There are no secrets to marketing. I would agree that there may be some concerns. Let’s blow the smoke off marketing, and you will see why our experience and truth has made us an industry leader in marketing health care practices.

First, you must be ready to handle more patients. Your team members may not know how to answer the phone correctly. We have a pinpoint, exact script that works. It worked so well that others in the industry continue to use this dialog we created over 30 years ago. The problem is, you teach it to your team members, then they do it for a while, and you know the rest of the story. Believe me, nobody is more diligent to make sure your phone is wide open to receive new patients. We will continue to train your team, and we will conduct periodic audit calls to verify your success.

Next, your schedule must be open to add on the number of new patients you want, without secondary or down line blockages. Most doctors think they can handle more new business; however, they find that while more are added, they end up with the same collection numbers a month later. That’s marketing energy and dollars poorly spent. We will teach you new patient capacity and scheduling to make sure your R.O.I. is high.

Additionally, most practices do not develop a marketing plan, detailing internal marketing tools and projects. Rarely do we find external marketing being scheduled. Often times when new patient numbers go up, the practice stops marketing. We will help you implement a full marketing calendar with accountability procedures to ensure you continue to market when you do not feel the need to do so. This prevents the “new patient roller coaster” and will keep your new patient numbers consistent. Our marketing team helps your team stay accountable, motivated, and working on internal and external projects. This will assure you high new patient stats.

In addition to monthly consulting programs, we also offer a modified marketing program which provides an in-office visit, diagnosis, presentation and delivery of materials which can be implemented immediately. This is done in a half day visit following doctor and staff completion of a marketing questionnaire and pre-consultation telephone conference. There are also incentives for doctors you refer to Capacity Management. This can be done via direct doctor’s referrals, sponsoring a study club, and/or association presentation.
